Job Descriptions

Executive Committee (Officers)

In addition to the duties listed below, PTA officers (which comprise the executive committee) are expected to attend PTA Executive Board meetings, which are held 1-2 times during the summer to plan for the coming year and in September (immediately preceding Back to School Night). They will also attend Executive Committee meetings in Oct, Nov, Dec, Jan, March, April, and May (typically Tuesdays at 6 pm). They are also expected to help with back to school packet preparation at the August meeting. All officer positions are 2-year commitments.

 

Vice President of Volunteers – 2-year position; assesses volunteer needs in specific school areas and PTA projects; organizes the Back to School folders and the Volunteer Handbook; maintains workroom PTA supplies, front office PTA information table, and volunteer name tags.

 

Treasurer – 2-year position; keeps accurate and detailed account of all monies received and paid out; presents financial statement at every PTA meeting; serves as chair of the budget committee and submits a budget for the board and membership approval; pays bills as authorized by the bylaws; maintains bank accounts; and works closely with other committee chairs in dealing with check and cash receipts from fundraisers.

 

Secretary – 2-year position; keeps accurate minutes of the PTA Executive Board and Committee meetings. Also, maintains a copy of the current PTA Bylaws.

 

Vice Presidents of Ways and Means – 2-year positions; two Executive Board positions (VP of Ways and VP of Means as detailed in the PTA Bylaws); coordinates fundraising efforts for the NFE PTA; manages the Annual Fox Fund by tracking and reporting donations, coordinates annual Barnes and Noble Fall Book Fair, oversees coordinators for Spirit Wear, Box Top and Business Rewards programs.

 

Executive Board (Standing Committee Chairs) – PTA standing committee chairs are expected to attend PTA executive board meetings which will be held during the summer to plan for the coming year and in September immediately preceding Back to School night. They are expected help with back to school packet preparation at the August meeting. They are also expected to attend executive committee meetings to report on their committee’s activity when relevant. Additional Executive Board meetings may be called in place of Executive Committee meetings when a vote of the full board is necessary. Standing committee chair positions are a 1-year commitment with the option to serve for a second year.

 

After School Enrichment

  • Determines classes to be offered and works with vendors
  • Coordinates dates and offerings with school principal
  • Coordinates registration and payments.
  • Assigns parent volunteers
  • Attends each day of after school enrichment to ensure volunteer support and smooth operation (split between the 2 chairs)

 

County Council

  • Attends all Henrico County Council of PTAs meetings
  • Prepares report of the Secretary
  • Reports issues to the NFE PTA Executive Board

 

Cultural Arts

  • Schedules performances throughout the year with organizations such as Theatre IV.
  • Schedules author or illustrator visits.

 

Explore Lab

  • Works with Grade Level Coordinators to run the Explore Lab Program. Provides guidance and support to the Grade Level Coordinators.
  • Maintains Explore Lab supplies, and purges and replaces items as necessary.

 

Fall Festival

  • Coordinates the annual Fall Festival held in October or November
  • Manages committees such as games, refreshments, set up, clean up. Coordinates a large volunteer effort to staff event.
  • May reach out to the community for corporate sponsorship to increase fundraising
  • May manage committee for silent auction

 

Family Fun Coordinator

  • Organizes fall and spring family picnics
  • Develops and distributes advertising for the family events

 

Fifth Grade Coordinators

  • Organizes Fifth Grade Luau including securing location; coordinating decorating, prize, food, and other committees; organizes volunteers for setting up, during event, and clean up; and secures return of location deposit
  • Coordinates Fifth Grade graduation with Fourth-grade room parents serving as the reception hosts.

 

Gardens & Grounds

  • Maintains flower beds and planters at school
  • Mulches as needed

 

Hospitality

  • Coordinates monthly Teacher Luncheons at the school
  • Manages volunteers who sign up to bring food/supplies and set up/clean up

 

Lay Advisory

  • Serves as a representative to the School Board
  • Attends monthly Lay Advisory meetings
  • Reports issues to the NFE PTA Executive Board

 

Membership

  • Conducts PTA membership drive at the beginning of the year
  • Develops membership list for Secretary once membership drive slows down
  • Conducts an audit of all PTA board members (all board members must be PTA members)

 

Newsletter/Webmaster/Social Media/Communications

  • Publishes and emails a bi-weekly e-newsletter
  • Maintains the NFE PTA website
  • Manages PTA Facebook page

 

Reflections

  • Sends out communications in June and maintains a box in the office for summer entry drop offs
  • Coordinates the PTA Reflections program and reception for students each fall
  • Works with the Newsletter Chair to send out regular updates to promote the program at NFE

 

Room Parents

  • Coordinates assignment of room parents for each classroom
  • Communicates important information to room parents throughout the year
  • Plans teacher appreciation week events

 

Innovation Fair 

  • Organizes the annual Science Fair for students

 

Turkey Trot 

  • Plans the annual Turkey Trot event

 

Yearbook 

  • Creates and publishes the annual yearbook
  • Manages orders and distribution of the books

Coordinator Positions

These positions are not officially part of the Executive Board but may be asked to attend various meetings for planning purposes or reporting of activities. They are also asked to help with Back to School packet preparation and may be asked to staff an Open House, Back to School night, or other events.

 

Box Tops

  • Responsible for collecting and submitting box tops throughout the year, and promotion to the school community
  • Works closely with Vice Presidents of Ways and Means to achieve yearly fund raising goals

 

Business Rewards

  • Responsible for business rewards enrollments, reward redemption, and promotion to the school community. This includes grocery store programs (Kroger), AmazonSmile and others.
  • Works closely with Vice Presidents of Ways and Means to achieve yearly fund raising goals

 

Cafeteria

  • Create, distribute and manage the schedule for cafeteria volunteers.

 

Lego League/Robotics

  • Recruit and train coaches for K-3 Junior First Lego League and 4-5 First Lego League (Robotics) teams
  • Assist in formation of K-3 and 4-5 teams

 

Library/Media Center

  • Create, distribute and manage schedule for library volunteers.

 

Marquee

  • Coordinate with principal on wording and update marquee with school messages each month
  • Recruit, train, and schedule volunteers as needed

 

Membership Toolkit

  • Manage Membership Toolkit program
  • Assist and train volunteers, teachers, and parents as needed

 

Spirit Nights

  • Contact local businesses to coordinate spirit events to benefit PTA
  • Make, copy, and distribute flyers and other communication prior to events

 

Spirit Wear

  • Manages spirit wear and Field Day T shirt sales, ordering, and distribution
  • Works closely with Vice Presidents of Ways and Means to achieve yearly fund raising goals and to determine the type of spirit wear which will be sold
  • Coordinates development of Field Day T shirt art work with the school’s art teacher

 

Workroom

  • Recruit, train and schedule volunteers to provide copying, laminating and other clerical assistance for teachers and staff in Workroom
  • Coordinate Workroom needs with grade-level teacher contacts
